And since <strong>we organize<\/strong> <strong>close to 40 webinars every year<\/strong>, with our top one so far attracting <strong>more than 4,000 registrants<\/strong>, there\u2019s a lot to talk about.<\/p>\n<p>Hopefully, by sharing the exact same process our team follows, this article will inspire you to look into all the ways webinars can help your business prosper. And who knows, maybe you\u2019ll even use GetResponse for your own success story!?<\/p>\n<p>Here\u2019s how we run our webinar marketing campaigns in 8 steps:<\/p>\n<ol>\n<li><a href=\"#planning-the-campaign\">Planning the campaign<\/a><\/li>\n<li><a href=\"#creating-the-webinar\">Creating the webinar<\/a><\/li>\n<li><a href=\"#preparing-webinar-registration-page\">Preparing the registration page<\/a><\/li>\n<li><a href=\"#sending-webinar-invitation\">Sending the webinar invitation<\/a><\/li>\n<li><a href=\"#creating-website-popup\">Creating the website popup<\/a><\/li>\n<li><a href=\"#promoting-webinar-via-social-media-paid-ads\">Promoting the webinar via social media, partners, and paid ads<\/a><\/li>\n<li><a href=\"#running-webinar\">Running the webinar<\/a><\/li>\n<li><a href=\"#sending-followup\">Sending the follow-up<\/a><\/li>\n<\/ol>\n<p>But first, let\u2019s briefly explain what we mean by Dogfooding.<\/p>\n<div class=\"wp-block-getresponse-before-you-begin\">\n<p><strong>Dogfooding:<\/strong><\/p>\n<p>Dogfooding is the practice of using a company\u2019s own products or services internally, either for testing purposes or as a way for employees to familiarize themselves with new features or products. The term \u201cdogfooding\u201d comes from the phrase \u201ceat your own dog food,\u201d which means to use what you produce.<\/p>\n<p>Our Marketing Team uses its own marketing software, GetResponse, to develop marketing campaigns to better understand the features, capabilities, and see things from the perspective of our customers. It also gives us a sense of ownership and pride in the products we develop.<\/p>\n<\/div>\n<h2 id=\"planning-the-campaign\">Step 1. Planning the campaign<\/h2>\n<p><strong>Tools used:<\/strong> MS Word, MS Teams, Jira, Slack<\/p>\n<p>Before diving into a webinar campaign, our team meets to discuss the details of the upcoming project.<\/p>\n<p>Specifically, we try to find answers to the following questions:<\/p>\n<ul>\n<li>What\u2019s the goal of this campaign?<\/li>\n<li>Who are we trying to reach?<\/li>\n<li>What will the webinar be about?<\/li>\n<li>When will we run it?<\/li>\n<li>Who\u2019ll host and support the webinar?<\/li>\n<li>What marketing activities will we be able to do?<\/li>\n<li>How will we follow up after the webinar?<\/li>\n<\/ul>\n<p class=\"has-background\" style=\"background-color:#e6f6ff\"><strong>Example:<\/strong> The goal of your webinar could be to educate your current and prospective customers on a new tool. Or it could be to educate them about a new marketing topic and to promote your new ebook. This usually includes designing banners and writing copy for the webinar registration page, webinar invitation email, and popups.<\/p>\n<p class=\"has-background\" style=\"background-color:#fff1cc\"><strong>Pro tip:<\/strong> Even though we\u2019re a remote-first company and do multiple things asynchronously, we try to kick off projects like these during a live call. It helps us get everyone onboard and it makes the project more \u201creal.\u201d Everything that we agree on in this call is then summed up in a Slack channel and appropriate Jira epic.<\/p>\n<h2 id=\"creating-the-webinar\">Step 2. Creating the webinar<\/h2>\n<p><strong>Tools used: <\/strong><a href=\"https:\/\/www.getresponse.com\/features\/webinar-software\">GetResponse Webinars<\/a><\/p>\n<p>As soon as we\u2019ve decided on registration confirmation and reminders<\/li>\n<li>The email list your webinar registrants will be added to<\/li>\n<li>Whether or not you want to add the webinar registrants into an autoresponder series<\/li>\n<li>Whether or not you want the registration to be required<\/li>\n<li>What template you want to use for your webinar reminders<\/li>\n<li>How many webinar reminders you want to send before the event<\/li>\n<li>Whether or not you want to password protect and\/or add consent fields to your webinar registration<\/li>\n<\/ul>\n<p>Here\u2019s what these settings look like for our to run our webinar campaigns<\/figcaption><\/figure>\n<p>Adjusting the above settings may seem like a lot of effort, but as I mentioned, when you use the duplicate feature, it saves you roughly 90% of the work.<\/p>\n<p>For our webinars, we usually only need to provide the title, date, and adjust the URL. We sometimes also use a custom thank you page for the webinar, but if we\u2019re short on time, we use a generic page instead.<\/p>\n<p class=\"has-background\" style=\"background-color:#fff1cc\"><strong>Pro tip 1:<\/strong> We always run webinars with the registration turned on, because we want to collect contact information from all the people interested in this event (including those that register, but don\u2019t turn up to the event). If this setting was switched off, we would only be able to collect information about the people that entered the webinar room (live or on-demand).<\/p>\n<p class=\"has-background\" style=\"background-color:#fff1cc\"><strong>Pro tip 2:<\/strong> We found that most of our webinar attendees stay with us for about 35-45 minutes, so we try to keep them under one hour long. However, as we want to maximize our webinar signups, we prefer to create a custom webinar registration landing page that not only looks but also converts better. If you\u2019ve never used the tool before, you\u2019ll enjoy the intuitive drag-and-drop editor along with the slick prebuilt website templates that make the design process fast and easy.<\/p>\n<p>Using the Website Builder, we recreated one of the templates making sure to adjust the following elements<\/p>\n<ul>\n<li>Headline \u2013 it needs to be catchy and indicate the webinar title<\/li>\n<li>Subheading \u2013 it should strengthen the title<\/li>\n<li>Main body \u2013 it needs to explain all the necessary details, such as when the webinar takes place, what it\u2019s about, what the takeaways will be, or who\u2019ll be hosting it<\/li>\n<li>Images \u2013 they need to relate to the webinar topic<\/li>\n<li>Webinar registration form \u2013 it needs to register people for the right webinar<\/li>\n<\/ul>\n<p><strong>Note: <\/strong>The webinar registration form lets you choose from webinars that have already been created inside GetResponse and have the registration turned on.<\/p>\n<p>Once we\u2019ve edited the page visually, we test what it looks like on desktop and mobile devices. In this setup, every time we create a new webinar campaign, we just create a new page and host it under the same subdomain (such as: webinars.getresponse.com\/webinar-1). Usually, we prefer to use our own subdomain because it help us maintain brand identity throughout all the channels.<\/p>\n<p class=\"has-background\" style=\"background-color:#fff1cc\"><strong>Pro tip: <\/strong>You can only have one website assigned to a single subdomain. That means for every webinar campaign you\u2019d either need to assign a new subdomain or take down the previously published page. The workaround for this is to have one main website where each individual page will be dedicated to a different webinar.<\/p>\n<p>After we\u2019ve finished designing the webinar registration page and filling out the title, description, and the URL, we make sure our page is integrated correctly with our Google Analytics account. In such situations, we need to provide them with the whole email template or at least the copy, banners, and links.<\/p>\n<p>Finally, when we\u2019ve got more time and budget on our hands, we turn to paid ads. Usually, we promote our webinars via Facebook and Google ads. Sometimes, however, when we\u2019re trying to reach a very precise B2B audience, we also invest in LinkedIn ads.<\/p>\n<p class=\"has-background\" style=\"background-color:#fff1cc\"><strong>Full disclosure:<\/strong> We run most of our paid ad campaigns natively via Facebook, Google, or LinkedIn ad management tools because we have a dedicated team that manages the campaigns for us. However, if we were to do this on our own, we\u2019d run paid ads directly via the <a href=\"https:\/\/www.getresponse.com\/features\/paid-ads\">GetResponse Paid Ads tool<\/a>. While it may not have as many advanced options as the native ad tools, it\u2019s more user-friendly and it\u2019s directly integrated with our other marketing tools.<\/p>\n<p>Paid campaigns have the highest reach, but you\u2019ve got to be very precise about your targeting. During that time, we:<\/p>\n<ul>\n<li>Upload our presentation<\/li>\n<li>Test the camera and microphone setup<\/li>\n<li>Test the screen sharing<\/li>\n<li>Turn on the Q&amp;A mode<\/li>\n<li>Prepare any surveys and CTAs we want to show during the webinar<\/li>\n<\/ul>\n<p class=\"has-background\" style=\"background-color:#fff1cc\"><strong>Pro tip:<\/strong> If you want to test the webinar with another presenter or guest, ask them to register for the webinar and enter the lobby. From there, you\u2019ll be able to move them to the webinar room and give them presenter access.<\/p>\n<p>With everything running and on schedule, we go live and make sure the webinar recording is turned on.<\/p>\n<p>As I mentioned a bit earlier, the main part of our webinar takes about 35 to 45 minutes. We also make sure to leave about 15 minutes for a live Q&amp;A session.<\/p>\n<p>After giving the presentation, we close the webinar for everyone. After this, they should be redirected to the thank you page we specified in Step 2.<\/p>\n<h2 id=\"sending-followup\">Step 8. Sending the follow-up<\/h2>\n<p><strong>Tools used:<\/strong> <a href=\"https:\/\/www.getresponse.com\/features\/email-marketing\">GetResponse Email Marketing<\/a> or <a href=\"https:\/\/www.getresponse.com\/features\/marketing-automation\">Marketing Automation<\/a><\/p>\n<p>The last step in our webinar campaign is the follow up after the event has already aired.<\/p>\n<p>Usually, we send out one or two emails to everyone who registered for the webinar, where we include:<\/p>\n<ul>\n<li>A thank you message for showing interest in the event<\/li>\n<li>Link to the webinar recording<\/li>\n<li>Additional materials mentioned during the webinar<\/li>\n<li>Future steps or content they might be interested in<\/li>\n<\/ul>\n<p>Most of the time, we do this by hand.
