And as a consequence,\u00a0<a href=\"https:\/\/www.calendar.com\/blog\/meet-important-deadlines-everything-hits-fan\/\" target=\"_blank\" rel=\"noopener\">you may miss deadlines<\/a>\u00a0or milestones that you\u2019ve set. Understandably, this can lead to an overwhelming and stressful feeling. Even worse? If you start to miss deadlines, it isn\u2019t easy to\u00a0<a href=\"https:\/\/www.calendar.com\/blog\/improve-your-focus-improve-your-productivity\/\" target=\"_blank\" rel=\"noopener\">regain your focus<\/a>\u00a0and get back on track.<\/p>\n<p>Thankfully, all is not lost if you use these strategies to catch up on work, you\u2019re behind. Here is a list of the best \u201cget over it and get going\u201d advice I could put together for you.<\/p>\n<h2>Recognize that you\u2019re overwhelmed and need assistance.<\/h2>\n<p><i>\u201cThe first step to dealing with a problem is admitting that you have a problem.\u201d \u2014 Jase Robertson<\/i><\/p>\n<p>Yes. This is easier said than done. However, as Jase Robertson noted, this is without question the first step you have to take.<\/p>\n<p>To make this process easier, you first need to acknowledge that not only have you fallen behind on your work, but you\u2019re also overwhelmed. And, not that you\u2019ve accepted this, you can explore ways to dig yourself out of this hole.<\/p>\n<p>Here are some of the strategies that I\u2019ve used in the past.<\/p>\n<h3>Prioritize my to-do list and shrink my workload.<\/h3>\n<p>I\u2019m a big fan of\u00a0<a href=\"https:\/\/www.calendar.com\/blog\/what-former-president-dwight-d-eisenhower-can-teach-you-about-time-management\/\" target=\"_blank\" rel=\"noopener\">the Eisenhower Matrix<\/a>. This system divides tasks into four quadrants. From there, a set of columns and rows helps determine where tasks go. Tasks are then sorted into columns according to urgency and nonurgency, while the rows indicate essential and not so important tasks.<\/p>\n<p>Together, you get the following quadrants:<\/p>\n<ul>\n<li>First Quadrant: Do<\/li>\n<li>Second Quadrant: Decide<\/li>\n<li>Third Quadrant: Delegate<\/li>\n<li>Fourth Quadrant: Disregard<\/li>\n<\/ul>\n<p>Whatever items are in the first quadrant deserve your attention and energy before anything. Ideally, you want to limit these to only three priorities per day so that you can actually achieve them.<\/p>\n<p>Anything in the second quadrant gets scheduled to when you have the availability. Then, you\u2019ll delegate or outsource the items in the third quadrant. And whatever remains can be removed from your list.<\/p>\n<p>It\u2019s a simple and effective way to not only reduce your workload but also encourage you to focus on what\u2019s most important.<\/p>\n<h3>Limit my distractions.<\/h3>\n<p>With your priorities identified, you want to add them to your calendar. You\u00a0want to block out as many distractions as possible during these time blocks. For example, you can turn off your phone, close the office door, or put on a pair of noise-canceling headphones.<\/p>\n<h3>Take a deep breath and ask for help.<\/h3>\n<p>If you are still overwhelmed and feel like you\u2019re underwater, then let others know. You shouldn\u2019t feel ashamed to ask for help. It\u2019s also not a sign of weakness. On the contrary, it\u2019s actually a strength, as it provides an opportunity to explore unique perspectives and insights.<\/p>\n<p>In addition, research has shown that doing so builds resilience\u00a0<a href=\"https:\/\/www.semanticscholar.org\/paper\/Self-disclosure-and-liking%3A-a-meta-analytic-review.-Collins-Miller\/0aa7943005dd20035715a3af81861da8896a6172?p2df\" target=\"_blank\" rel=\"noopener\">relationships<\/a>\u00a0and is\u00a0<a href=\"http:\/\/journals.sagepub.com\/doi\/pdf\/10.3102\/0162373718785764\" target=\"_blank\" rel=\"noopener\">an indicator of\u00a0<\/a>high performance. In addition, it can help you enjoy a better mental state of mind. Moreover,\u00a0<a href=\"https:\/\/www.researchgate.net\/publication\/281029751_Is_mental_effort_exertion_contagious\" target=\"_blank\" rel=\"noopener\">sitting next to hard and motivated workers helps one\u2019s work ethic<\/a>.<\/p>\n<h2>Prioritize your backlog.<\/h2>\n<p>\u201cIf work is piling up, it\u2019s time to prioritize your backlog as best as possible,\u00a0<a href=\"https:\/\/www.forbes.com\/sites\/theyec\/2021\/08\/18\/falling-behind-on-work-take-these-steps-to-get-back-on-track\/?sh=68d0047134be\" target=\"_blank\" rel=\"noopener\">suggests<\/a>\u00a0Mario Peshev, CEO of DevriX. \u201cCompile all of those tasks in one place and categorize them by priority, urgency or complexity.\u201d<\/p>\n<p>\u201cYou can push through the most important tasks first and free up some time to sort out the rest of the backlog, or tackle the lowest hanging fruits by reducing the number of activities you have to complete,\u201d he adds. In some cases, seeing a bigger picture in one place may prove to be helpful in delegating some tasks or even outsourcing to partners when needed.<\/p>\n<p>\u201cHaving the opportunity to reflect may expose opportunities to hire for a new role.\u201d Or, you may decide to get an assistant or take a break from activities that take up your time regularly without generating the ROI you need.<\/p>\n<h2>\u00a0Follow the 2-minute rule.<\/h2>\n<p>Do you have tasks that take two minutes or less? If so, do them now and remove them from your to-do list. As a result, your brain gets a nice little rush of reward chemicals like dopamine. And, it can help you\u00a0<a href=\"https:\/\/www.calendar.com\/blog\/how-the-smartest-entrepreneurs-keep-themselves-from-losing-momentum\/\" target=\"_blank\" rel=\"noopener\">build up momentum<\/a>\u00a0so that you can climb out that \u201cI can\u2019t seem to get anything done today\u201d spiral.<\/p>\n<p>What if it\u2019s a slightly more complicated or time-consuming task? This task should be postponed until you have the time to attend to it properly.<\/p>\n<h2>Just say \u201cno.\u201d<\/h2>\n<p>I\u2019ll be honest. I\u2019m struggling with this. I don\u2019t want to disappoint others or earn the reputation of being a \u201cNo Man.\u201d However, when you\u2019re playing catch-up, you have no other option.<\/p>\n<p>But, how exactly can you\u00a0<a href=\"https:\/\/www.calendar.com\/blog\/reclaim-your-time-by-learning-the-art-of-saying-no\/\" target=\"_blank\" rel=\"noopener\">master the art of saying \u201cno?<\/a>\u201d Well, if you\u2019ve added your priorities to your calendar, you have a perfectly valid reason for declining additional work or grabbing lunch with a friend. But, then, a simple, \u201cI\u2019m sorry, I\u2019m booked this week, can we schedule this in two weeks?\u201d should be just fine.<\/p>\n<p>The most important takeaway is that you should be firm, while also being polite. An example response could be, \u201cI appreciate you considering me for the assignment. Unfortunately, I\u2019m not available right now, but I hope to keep you posted.\u201d The great thing about this response is that it shows gratitude while also leaving the door open for future opportunities.<\/p>\n<h2>Ask the \u201cFocusing Question.\u201d<\/h2>\n<p>\u201cWhat\u2019s the ONE Thing I can do such that by doing it, everything else will be easier or unnecessary?\u201d\u00a0<a href=\"https:\/\/www.the1thing.com\/blog\/the-one-thing\/behind-the-pages-part-1-garys-story-spawns-one-thing-strategy\/\" target=\"_blank\" rel=\"noopener\">asks Gary Keller<\/a>, co-author of \u201cThe One Thing. He says that you should ask this \u201cover and over until you\u2019re doing the most important thing \u2013 your \u2018ONE Thing.\u2019\u201d<\/p>\n<p>\u201cExtraordinary results are rarely happenstance,\u201d Keller adds. \u201cThey come from the choices we make and the actions we take.\u201d<\/p>\n<p>\u201cThe Focusing Question always aims you at the absolute best of both by forcing you to do what is essential to success,\u201d explains Keller. \u201cIt ignores what is doable and drills down to what is necessary, to what matters.\u201d No matter if \u201cyou\u2019re looking for answers big or small, asking the Focusing Question is\u00a0<a href=\"https:\/\/www.calendar.com\/blog\/15-productive-habits-overall-to-have-overall\/\" target=\"_blank\" rel=\"noopener\">the ultimate \u2018success habit\u2019 in your life<\/a>.\u201d<\/p>\n<p>After you have answered the \u201cFocusing Question,\u201d jot it down. According to Dr. Gail Matthews, an associate professor of psychology at the Dominican University in California, writing down your goals and dreams regularly can make you\u00a0<a href=\"https:\/\/www.huffpost.com\/entry\/the-power-of-writing-down_b_12002348\" target=\"_blank\" rel=\"noopener\">42% more likely to achieve them<\/a>.<\/p>\n<h2>Whenever you\u2019re stuck, switch gears.<\/h2>\n<p>If you feel like you\u2019re spinning your wheels, start something else. That may sound counterproductive. If you can knock out a simple task right now, that will help build momentum.<\/p>\n<p>Compared to trying to push through when stuck,\u00a0<a href=\"https:\/\/www.sciencedirect.com\/science\/article\/abs\/pii\/S0010027714001929\" target=\"_blank\" rel=\"noopener\">research\u00a0<\/a>shows that switching to another unrelated task improves performance. So, the next time you\u2019re stuck, change tack by doing either of the following three things;<\/p>\n<ul>\n<li>Take a short break of 5-15 minutes, then start a new block of time devoted to something else, preferably something sequential.<\/li>\n<li>Whenever possible, take a 30- to 60-minute break to move your body before starting another task or attempting to return to the one you can\u2019t figure out. If you don\u2019t have that much time available, go for a short job or yoga session.<\/li>\n<li>Calm your mind. Even if you\u2019ve prioritized your list, your mind is probably still racing with everything that needs to get done. As a result, this can cause you to feel stressed and anxious. Find ways to manage these feelings through journaling, breathing exercises, or listening to soothing music.<\/li>\n<\/ul>\n<h2>End the procrastination cycle.<\/h2>\n<p>Did you know that\u00a0<a href=\"https:\/\/www.calendar.com\/blog\/procrastination-means-managing-your-emotions-not-your-time\/\" target=\"_blank\" rel=\"noopener\">procrastination is more closely related to emotion than time<\/a>? Well, that\u2019s according to scientists. It\u2019s been found that people who procrastinate often do so to give themselves a temporary emotional release. However, by avoiding the dreaded task, they aren\u2019t improving their emotional state due to guilt over procrastination.<\/p>\n<p>Although procrastination occurs to all of us from time to time, chronic procrastinators can become trapped in this endless cycle of procrastination. So, if you find yourself in this loop, how can you break free?<\/p>\n<p>Two methods have proven to be effective in interrupting this recurring cycle. One of those methods is an\u00a0<a href=\"https:\/\/journals.sagepub.com\/doi\/pdf\/10.1111\/1467-9280.00441\" target=\"_blank\" rel=\"noopener\">external deadline<\/a>. When you have a deadline to meet, you often force yourself just to get started to complete it. Ideally, someone else should set this deadline, like a supervisor or client. However, if that\u2019s not an option,\u00a0<a href=\"https:\/\/www.calendar.com\/blog\/4-key-benefits-of-working-under-deadlines\/\" target=\"_blank\" rel=\"noopener\">you can create a self-imposed deadline<\/a>\u00a0even though it\u2019s not as effective.<\/p>\n<p>A second way to break the procrastination cycle is to consider your mood as a fixed state.\u00a0<a href=\"https:\/\/www.psychologicalscience.org\/observer\/why-wait-the-science-behind-procrastination#.WH-4qRsrJPY\" target=\"_blank\" rel=\"noopener\">Researchers<\/a>\u00a0found students did not procrastinate when they believed their moods were fixed. But, when they thought they could improve their mood, they procrastinated.<\/p>\n<p>In short, you may find it challenging to start your work if you are feeling lousy. However, you will be more likely to buckle down and get the job done if you accept your lousy mood as part of life.<\/p>\n<h2><em>\u201cExtend your workday.\u201d<\/em><\/h2>\n<p>\u201cUsually, extending your workday isn\u2019t recommended,\u201d\u00a0<a href=\"https:\/\/www.robinwaite.com\/blog\/how-to-catch-up-on-work-when-youre-behind-pro-tips\/\" target=\"_blank\" rel=\"noopener\">says<\/a>\u00a0Ryan Sundling on\u00a0Robin Waite. \u201cBut when you are behind on work, it doesn\u2019t hurt to stay for an extra 30 minutes each day.\u201d<\/p>\n<p>If you decide to stay, make the most of it. \u201cGiven that most people will have already gone home, your office will be quiet, and you can get more work done,\u201d he adds. \u201cWith fewer people around, there should be far fewer interruptions. If you stay an extra hour each day for one week, you could potentially have enough time to catch up on your work.\u201d<\/p>\n<p>The key, however, is to limit yourself. After all,<a href=\"https:\/\/www.calendar.com\/blog\/https-www-calendar-com-blog-9-ways-to-combat-burnout\/\" target=\"_blank\" rel=\"noopener\">\u00a0you shouldn\u2019t burn yourself out<\/a>. \u201cYou won\u2019t do yourself any favors by turning into a zombie, even if you are catching up!\u201d\u00a0Sundling\u00a0warns.<\/p>\n<h2>Are you really behind or do you just feel like you\u2019re not doing so well?<\/h2>\n<p>It\u2019s one thing to have missed a hard deadline. It\u2019s another to feel like you\u2019re behind because you\u2019re comparing yourself to others. If it\u2019s the latter, then try using the positive benefits of competition to your advantage.<\/p>\n<h3><em>\u201cTrack your triggers.\u201d<\/em><\/h3>\n<p>When you become aware of what triggers self-comparison for you, you can transform them into opportunities for more effective responses to self-comparison, writes Nihar Chhaya in\u00a0<a href=\"https:\/\/hbr.org\/2020\/08\/feel-like-youre-falling-behind-your-peers\" target=\"_blank\" rel=\"noopener\"><i>HBR<\/i><\/a><i>.<\/i><\/p>\n<p>Shift from reactive rumination to purposeful reframing. For example, after you identify the situations that provoke feelings behind, you may decide to stop all activities that cause feelings of insecurity.<\/p>\n<p>This approach is not always practical. For example, you may not avoid what your peers are saying in the workplace. But, you can reduce comparisons on social media by limiting your time on these platforms or viewing your peer\u2019s progress objectively.<\/p>\n<h3><em>\u201cExhibit a personal strength to regain validation and momentum.\u201d\u00a0<\/em><\/h3>\n<p>\u201cDuring an acute bout of insecurity, you may start to brood about how you can catch up to others,\u201d states Chhaya. \u201cAt this time, recapture your sense of self-efficacy by taking small actions to achieve small wins.\u201d Highlight your strengths, share them with the world, and apply the validation to boost your resilience.\u201d<\/p>\n<h3><em>\u201cRedefine your peer set and create a new field of play.\u201d<\/em><\/h3>\n<p>Comparing yourself to a fixed set of peers is like playing a zero-sum game where you are either ahead or behind your peers. \u201cBut by expanding your view to include new and diverse peer groups, you create less of a binary evaluation of your success and enable new domains to dominate,\u201d Chhaya adds.<\/p>\n<h3><em>\u201cShake free of internalized expectations.\u201d<\/em><\/h3>\n<p>A promotion at work may seem like an actual competition, but it\u2019s another thing to feel behind your peers.
